Job Scope
Provide general day-to-day T&C support function in relation to all Employees, Training and Development and other administration for Cocoon employees. Should action all the specified tasks within the guidelines of the Cocoon T&C Policies and within the guidelines and regulations set by Maldivian Government.
Key Responsibilities
· Perform duties in accordance to Standard Operating procedures and Guidelines of Cocoon Maldives ensures to maintain high standards in personal appearance. Should be well groomed, hygienically clean and properly attired in uniform to carry out duties at all times.
· Ensures to behave/carry out tasks and responsibilities in a professional manner.
· Ensure to be well organized to carry out job tasks with necessary accessories and ready at hand.
· Deals with Staff feedback and concerns systematically and keeps the GM/RM informed of same.
· Ensure to be committed to suggest/introducing new initiatives that are focused on enhancing staff development.
· Provides management direction and counseling. Supervises clerical assistant.
· Assist in all T&C related functions and taking lead as per the advice from TCM.
· In absence of TCM take the initiative in handling TCM responsibility.
· Keeping the T&C records updated in daily manners.
· Prepare the monthly reports of T&C department.
· Keep a record of staff leave as advice from TCM.
· Conduct orientation programs for the new staffs as per the advice from TCM when L&D Coordinator is on leave.
· Assist TCM in recruitment and advice the best practice we would adopt in Cocoon Management.
· Plane the staff recreation events and organize the events.
· Oversees the staff attendance and advice TCM, and keep the record in T&C.
· Be updated with the lasted Employee regulation of Maldives and advice to the team.
· Responds to inquiries regarding policies, procedures, and programs.
· Monitor the Visa situation and keep the T&C record updated.
· Handle the payroll related documentation and run the payroll with advice from TCM.
· Maintaining excellent grooming and hygiene ensuring all grooming standards are met in relation to personal grooming and uniform presentation.
· Complying with Resort Safety & Environment policies, initiatives and legislation.
· Abiding by all Work Place Health, Safety and Hygiene regulations at all times.
· Abiding by the guidelines set out in the Employee Handbook.
· Assign and supervise the works of T&C team members.
· Carrying out any other duties as directed by the Talent & Culture Manager.
Key Performance Indicators (KPIs)
Employee Record Accuracy
• Maintain 100% accuracy in all T&C employee records.
• Complete updates within 24 hours of receiving information.
Monthly Reporting Submission
• Submit 100% of monthly T&C reports before the agreed deadline.
• Zero major reporting errors.
Staff Leave Management
• Maintain updated leave records with 100% tracking accuracy.
Recruitment Efficiency
• Achieve 100% completion of recruitment documentation.
Staff Attendance Monitoring
• Ensure daily attendance reports are updated with 100% completion.
Visa Compliance Management
• Maintain 100% valid visa compliance for expatriate team members.
Payroll Documentation Accuracy
• Ensure payroll documents are submitted before payroll deadline every month.
Employee Relations and Feedback Handling
• Resolve staff concerns within 5 working days.
• Maintain confidential and professional handling of all cases.
Staff Engagement and Recreation Activities
• Organize minimum 8 staff engagement activity per month.
Team Supervision and Task Management
• Ensure daily task allocation and follow-up for T&C team members.
• Achieve 90% completion of assigned departmental tasks on time.
SOP and Grooming Compliance
• Maintain 100% compliance with grooming and uniform standards.
Initiative and Process Improvement
• Propose minimum 2 process improvement initiatives annually.
• Successfully implement at least 1 approved initiative per year.
