Job Scope

Provide general day-to-day T&C support in function in relation to all Employee, Training and Development and other administration for Cocoon employees. Should action all the specified tasks within the guidelines of the Cocoon T&C Policies and within the guidelines and regulations set by Maldivian Government.


Key Responsibilities

General Responsibilities

  • Perform duties in accordance to Standard Operating procedures and Guidelines of Cocoon Maldives ensures to maintain high standards in personal appearance. Should be well groomed, hygienically clean and properly attired in uniform to carry out duties at all times.
  • Ensures to behave/carry out tasks and responsibilities in a professional manner.
  • Ensure to be well organized to carry out job tasks with necessary accessories ready and at hand.
  • Deals with Staff feedback and concerns systematically and keeps the GM/RM informed of same.
  • Ensure to be committed to suggest/introduce new initiatives that are focused in enhancing staff development.
  • Provides management direction and counseling. Supervises clerical assistant.

 

Specific Responsibilities

  • Keeping the T&C records updated in daily manners.
  • Keep record of staff leave as advice from TCM.
  • Conduct orientation programs for the new staffs as per the advice from TCM.
  • Assist TCM in recruitment and advice the best practice we would adopt in Cocoon Management.
  • Plane the staff recreation events and organize the events.
  • Oversees the staff attendance and advice TCM, and keep the record in T&C.
  • Be updated with the lasted Employee regulation of Maldives and advice to the team.
  • Responds to inquiries regarding policies, procedures, and programs.
  • Monitor the Visa situation and keep the T&C record updated.
  • Maintaining excellent grooming and hygiene ensuring all grooming standards are met in relation to personal grooming and uniform presentation.
  • Complying with Resort Safety & Environment policies, initiatives and legislation.
  • Abiding by all Work Place Health, Safety and Hygiene regulations at all times.
  • Abiding by the guidelines set out in the Employee Handbook.
  • Carrying out any other duties as directed by the T&C Manager.
  • Plan and execute Welfare Activities for team members.
  • Prepare daily headcount report
  • Prepare Monthly Activity Calender
  • Prepare staff birthday Calender
  • Handle the annual leave ticket requests of team members and maintain the tracker
  • Maintain the accommodation master


Key Performance Indicators (KPIs)

T&C Record Accuracy

Maintain and update employee records, accommodation master, and HR documentation daily

Target: 100% updated records with zero major discrepancies monthly

Leave Management Compliance

Maintain accurate leave records and annual leave ticket tracking as advised by TCM

Target: 100% leave records updated within 24 hours

Attendance Monitoring & Reporting

Monitor staff attendance and provide accurate reports to TCM

Target: 100% attendance records updated daily

Recruitment Support Efficiency

Assist in recruitment activities and support best HR practices during hiring processes

Target: Fill recruitment documentation and coordination within agreed timelines

Welfare & Recreation Activity Execution

Plan and organize staff welfare and recreational activities

Target: Minimum 10 welfare or recreation activities monthly

HR Compliance & Regulation Awareness

Stay updated with Maldives labor regulations and communicate relevant updates to management

Target: Zero compliance violations due to outdated information

Visa & Documentation Monitoring

Monitor visa status and maintain updated visa records for all team members

Target: Zero visa expiry cases without prior action

Reporting & Calendar Management

Prepare daily headcount reports, monthly activity calendar, and birthday calendar accurately and on time

Target: 100% timely submission monthly

Professional Standards & Safety Compliance

Maintain grooming, hygiene, safety, and workplace compliance according to resort standards

Target: Zero disciplinary or grooming violations monthly
